50 ChatGPT Prompts for Accountants and Bookkeepers

Accountants and bookkeepers spend a lot of time on work around the numbers: emails, checklists, formulas, memos, and explanations. ChatGPT can speed up that work, as long as you keep it away from final numbers and final judgments.
These prompts run in ChatGPT, Claude, Gemini, or Copilot, so you can use whichever assistant your firm approves. Copy a prompt, replace the details in [brackets], and edit the output to fit your client and your policies.
A Safety Note Before You Start
Read this once, then keep it in mind for every prompt below.
- AI is not tax, legal, or accounting advice. It does not know your client, your ledger, or the rules that apply where they operate. Use it to draft, explain, and organize. You make the calls.
- Never paste client identifiers or bank details. No client names, tax ID numbers, account numbers, bank statements, payroll records, or login details.
- Anonymize confidential financials. Replace names with "Client A," round or scale the numbers, and keep only the columns the prompt needs. Sample data with the same shape works just as well.
- Check every number. AI can make math mistakes and invent figures with total confidence. Recalculate anything that matters in your spreadsheet or accounting system.
- Follow your firm's rules. Some firms and clients restrict AI tools. Check your engagement letters, privacy duties, and IT policy first.
With that in place, here are 50 prompts grouped by the work that fills your week.
Reconciliations and Month-End Close
Use these to plan the close, find differences faster, and write up what you found. The matching itself stays in your system, where every figure can be traced.

Tips for Better Results
Give the shape, not the secrets. Describe your columns, the period, and the business type. AI does not need real names or real figures to help with structure.
Ask it to show its work. Add "explain each step" to formula and reconciliation prompts. It makes errors easier to spot.
Test before you trust. Run every formula on rows where you already know the answer. Recalculate every figure AI puts in a draft.
Tell it what not to do. "Do not invent reasons" and "do not include local tax rules" keep drafts safe and honest.
Iterate. If a draft is off, say "shorter," "simpler," or "more formal" instead of starting over.
Own the final version. AI writes a first draft. You are responsible for accuracy, compliance, and client confidentiality.
