AI Add-ons and Built-in Features
Beyond using external AI tools like ChatGPT and Claude, Google Workspace has built-in AI features and a rich ecosystem of add-ons that bring AI directly into your Sheets and Docs.
Google's Built-in AI Features
Explore in Google Sheets
The Explore panel (bottom-right corner of any sheet) lets you:
- Ask questions in plain English: "What is the average sales by region?"
- Get auto-generated charts and pivot tables
- See AI-suggested formulas you can insert with one click
To use it: Click the starburst icon in the bottom-right corner, or press Alt + Shift + X.
Gemini in Google Sheets
Google's Gemini AI is integrated directly into Sheets:
- Help me organize — Describe the spreadsheet you need and Gemini creates a template
- Generate formulas — Ask for formulas in the side panel
- Analyze data — Get insights about your data without leaving Sheets
Access it from the Gemini icon in the toolbar.
Gemini in Google Docs
- Help me write — Generate text from a prompt directly in your document
- Refine selected text — Shorten, elaborate, formalize, or change tone
- Summarize — Get an AI summary of your entire document
- Smart Canvas — Use
@mentions to insert smart chips, dates, and dropdowns
Smart Fill in Sheets
Google Sheets can detect patterns and auto-fill:
- Type a few examples of your desired output in a column
- Sheets recognizes the pattern and suggests filling the rest
- Press Ctrl + Enter to accept
For example, if column A has "John Smith" and you type "John" in column B, Smart Fill will suggest extracting first names for all rows.
Popular AI Add-ons
Access add-ons from Extensions → Add-ons → Get add-ons in Google Sheets or Docs.

When to Use Built-in vs External AI
| Task | Best Tool |
|---|---|
| Quick formula help | Explore panel or Gemini |
| Complex multi-step formulas | ChatGPT or Claude (more context) |
| Batch text processing | GPT for Sheets add-on |
| Document drafting | Gemini in Docs or external AI |
| Data analysis and insights | External AI with file upload |
| Simple pattern recognition | Smart Fill |
Key Takeaway
You don't always need to switch between Google Sheets and a separate AI chat. Google's built-in Explore and Gemini features handle quick tasks, while add-ons like GPT for Sheets bring AI directly into your cells. Use external AI tools like ChatGPT and Claude for more complex tasks that need detailed context and multi-step reasoning.
