A clear invoice gets paid faster
Confusing invoices get put aside. A clear one can be approved in a minute. Use your platform's invoicing if you work on one, or a free invoicing tool or template. Then use AI as a checker.
Prompt:
Check this invoice for anything missing or unclear. It should include: my name and contact details, the client's name, an invoice number, the date, a due date, a short description of each item matching the agreed scope, amounts and total, and how to pay. List anything missing and suggest clearer wording for vague item descriptions.

Remove bank or card details before pasting. The AI does not need them to check the rest.
A short, friendly note with the invoice also helps:
Write a two-sentence note to send with an invoice. Thank the client, mention the project and due date, and say I am happy to answer any questions.
The late-payment reminder sequence
Most late payments are not bad intent. The invoice got lost, the right person is on holiday, or the client forgot. Start friendly and get firmer only if needed.

- Firm: state that it is well overdue, say work on anything new is paused until payment, and mention the next step I will take (for example, the platform's payment dispute process or the late fee in our agreement). Keep each under 100 words. Polite, never threatening or emotional.
Only mention a late fee or pause if it was in your agreement or you are ready to do it. Empty threats weaken your position.
Finish well: the wrap-up message
The end of a project is the best time to ask for a review, a referral, or the next job, because the client is happiest right after good work.
Prompt:
Write a short wrap-up message for a finished project. Thank the client, summarize what was delivered in one or two lines, share any final files or notes, ask if they would leave a short review, and mention one related way I could help in future. Warm and brief, under 120 words.
