How to Use ChatGPT for Business: Setup, Workflows and Data Safety

Short answer: For a team, use ChatGPT Business. It gives everyone a shared workspace, admin controls and single sign-on, and OpenAI does not train its models on your workspace's data. Then start with a few everyday workflows (email, meeting notes, documents, spreadsheets and research), write a one-page policy on what data people may paste in, and expand from there. A solo founder can start on a personal plan, as long as they turn off model training in the settings.
This guide covers the setup, the data rules and the workflows that save the most time. For plan prices and limits, see our ChatGPT Free vs Plus vs Pro guide, which includes ChatGPT Business. Every fact below was checked against OpenAI's help center in October 2026.
Step 1: Choose How Your Team Will Use It
You have two options.
Personal plans (Free, Go, Plus or Pro). Fine for a solo founder or a quick trial. Each person manages their own account, and OpenAI may use your chats to train its models unless you turn that off in Settings, then Data controls, then "Improve the model for everyone".
ChatGPT Business. Built for teams of two or more. You get:
- One workspace with central billing
- Admin roles and the ability to add or remove people
- Single sign-on (SAML or OpenID Connect) included
- No model training on your workspace's data
- Company Knowledge, so ChatGPT can search connected work apps like Google Drive
- ChatGPT Work and Codex in every seat
If more than one person will use ChatGPT for work, Business is the safer default. It needs at least 2 seats.
Step 2: Set Up a Business Workspace
Setup takes a few minutes:
- Sign up from the ChatGPT Business page and choose your number of seats and monthly or annual billing. The account that signs up becomes the owner.
- Invite your team and pick a seat type for each person: Standard for most people, Premium for heavy users.
- Assign roles. There are four:
- Owner: billing, sign-in settings and workspace setup
- Admin: manages people and day-to-day admin
- Analytics viewer: can see usage and workspace information
- Member: full use of ChatGPT, no admin rights
- Turn on single sign-on under Workspace settings, then Identity and access, if your company uses Google, Microsoft or another identity provider.
- Connect your work apps so ChatGPT can use Company Knowledge. Each person only sees files they already have access to in the original app.
- Create shared projects for common work (for example "Sales emails" or "Monthly reporting") with instructions and reference files the whole team can reuse.
One thing to tell your team: when someone joins, they can keep their personal ChatGPT separate or merge it into the company workspace. Merging can't be undone, so most people should keep them separate.
Step 3: Keep Company Data Safe
This is the part most teams skip, and the one that matters most.
What OpenAI does with your data:
- Business: OpenAI does not train on your workspace's data. Admins control how long chats are kept, and deleted chats are removed within 30 days unless the law requires longer.
- Personal plans: chats may be used for training unless each person turns it off. Note that giving a response a thumbs up or down can send that conversation for training even after opting out.
- Temporary chats (on any plan) don't appear in history, don't update memory and aren't used for training. OpenAI may keep them for up to 30 days for safety checks.
- Admins can see chats. On Business, workspace admins can view, export and delete members' conversations. Tell your team this up front.
Security basics: ChatGPT Business has completed a SOC 2 Type 2 audit, and data is encrypted at rest and in transit.
Health and other regulated data: OpenAI does not offer a Business Associate Agreement (BAA) on ChatGPT Business. If you handle patient health information, you need a sales-managed Enterprise or healthcare plan, or you keep that data out of ChatGPT entirely.
Write a one-page AI policy. Keep it short and specific:
- What people may paste in (public info, drafts, internal documents)
- What they may not (customer payment details, passwords, health records, anything under a confidentiality agreement)
- That a person reviews every output before it reaches a customer
- Who to ask when unsure
8 Business Workflows That Work Today
Start with two or three of these. Pick the ones your team does every week.
1. Email drafts and replies
Paste the email thread and say what you want: "Reply politely, decline the discount, offer a call next week." ChatGPT writes a first draft in seconds. Save your best instructions in a shared project so everyone's emails sound consistent.
2. Meeting notes and action items
On the Mac desktop app, ChatGPT can record a meeting and produce a summary with action items. No bot joins the call, so you must tell everyone and get their consent before recording. For a comparison of dedicated meeting tools, see our guide to the best AI note takers.
3. Documents and proposals
The ChatGPT add-in for Microsoft Word lets you draft and edit inside the document. Give it your outline and a past proposal as a style example, then edit the draft yourself.
4. Spreadsheets and reports
Upload an Excel or CSV file and ask questions in plain language: "Which product grew fastest this quarter? Make a chart." ChatGPT runs the analysis and shows its work. There's also an add-in for Excel and Google Sheets.
5. Research and competitor checks
Deep research reads many sources and writes a report with links. Use it for market overviews, supplier comparisons or "what are competitors charging?" Always open the links before you rely on a number.
6. Recurring reports with scheduled tasks
Ask ChatGPT to do something on a schedule, such as "every Monday, summarize last week's industry news in 5 bullets". It runs on its own and sends you the result.
7. Longer deliverables with ChatGPT Work
For multi-step jobs (a slide deck from a report, a spreadsheet model, a first draft of a website page), ChatGPT Work plans the steps and produces a finished file you can review and edit.
8. Customer support drafts
Paste a customer question and your help article, and ask for a reply in your brand's tone. Keep a person in the loop: never let AI send replies to customers unchecked.

A Simple 30-Day Rollout Plan
- Week 1: start with 2 or 3 people. Pick two workflows from the list above.
- Week 2: write your one-page AI policy based on what the pilot group actually did.
- Week 3: save the best prompts and reference files in shared projects. Invite the rest of the team.
- Week 4: ask everyone which tasks got faster and which outputs needed heavy editing. Keep what worked, drop what didn't.
Common Mistakes to Avoid
- Pasting sensitive data into personal accounts. Use Business, or turn off training and avoid confidential data.
- Sending AI output without reading it. ChatGPT can state wrong facts confidently. A person checks everything that leaves the company.
- Starting with too many use cases. Two workflows done well beat ten done badly.
- Not telling people about recording or admin access. Consent for recordings and honesty about who can see chats build trust.
Frequently Asked Questions
Is ChatGPT safe to use for business?
It can be, with the right setup. On ChatGPT Business, OpenAI does not train on your workspace's data, the service has completed a SOC 2 Type 2 audit, and admins control data retention. On personal plans, turn off model training in Data controls and keep confidential data out.
Does OpenAI train on ChatGPT Business data?
No. OpenAI says it won't train on your workspace's data on Business or Enterprise unless you explicitly opt in.
How many people do you need for ChatGPT Business?
At least 2 seats. You can mix Standard and Premium seats in one workspace.
Can admins see employees' ChatGPT chats?
Yes. On Business and Enterprise, workspace admins can view, export and delete conversations in the workspace. Tell your team before they start.
Can I use ChatGPT with patient or health data?
Not on ChatGPT Business. OpenAI does not offer a Business Associate Agreement for Business. For health data you need a sales-managed Enterprise or healthcare offering, or you keep that data out of ChatGPT.
What should a small business use ChatGPT for first?
Start with tasks you repeat every week: email replies, meeting notes, proposals and simple spreadsheet questions. These save time quickly and are easy to check.
