Module 8: Capital Expenditures & Property Improvement Plans
Capital expenditures (CapEx) are investments in long-term assets---renovations, equipment, building improvements. Unlike operating expenses, CapEx creates lasting value. This module covers CapEx planning, budgeting, ROI analysis, and the Property Improvement Plan (PIP) process.
Types of CapEx
1. FF&E Reserve (Furniture, Fixtures & Equipment): Ongoing replacement of worn items. Typically funded at 4-5% of rooms revenue annually.
2. Renovations: Major updates to rooms, public spaces, or facilities. Often required every 5-7 years.
3. System Upgrades: HVAC, plumbing, electrical, roof, technology infrastructure.
4. Brand-Mandated PIP: Property Improvement Plans required by franchisors to maintain brand standards.
The PIP Process
When a hotel changes brands or renews a franchise, the franchisor conducts a PIP inspection identifying required improvements. This becomes a negotiated scope of work with defined timelines and costs. PIPs typically range from $5,000-$15,000 per room depending on property condition.
Evaluating CapEx Projects
Use these methods to evaluate whether to proceed:
• Payback Period: How many years to recover investment through increased profit
• ROI (Return on Investment): Annual profit increase ÷ Investment cost
• NPV (Net Present Value): Time value of money analysis
• Strategic Value: Some CapEx is necessary regardless of financial return (safety, compliance, brand standards)
KEY INSIGHT: CapEx should be planned strategically, not just spent reactively. Create a 5-year CapEx plan identifying all major investments, spreading costs appropriately, and ensuring adequate funding.
